Has anyone found a practical way to handle backups when a Google Workspace environment contains a large number of user accounts? Entering credentials and configuring every mailbox separately sounds manageable for a few users, but it becomes repetitive when administrators need to protect data across an entire organization.

The backup would need to cover more than Gmail. Depending on the department, there could be contacts, calendars, tasks, attachments, My Drive files, Shared Drives, and Google Chat data. I’d also want the option to select specific dates or folders instead of processing every available item for every account.

One approach I’m researching is the SysInfo Google Workspace Backup Tool. The product information describes CSV-based batch mapping, Workspace Admin Domain Wide Delegation, and multiple authentication options. It also supports direct migration to Microsoft 365 or another Google Workspace environment, as well as local formats such as PST, PDF, MBOX, and CSV.

For larger backup jobs, monitoring is another concern. If a process is interrupted halfway through, starting again from zero could take unnecessary time. Features such as resume migration, duplicate handling, delta sync, and detailed reports could make it easier to continue from existing progress and identify what was completed or skipped.

I’m comparing different Google Workspace backup software options mainly from an administrator’s perspective. I’d like something that can handle multiple accounts while still providing selective control over dates, folders, and data types. Reporting is also important because I’d want evidence of failed or skipped items before considering the backup complete.

For IT teams that still refer to this as a G Suite backup tool, how do you normally manage large-scale backups? Do you authenticate users individually, use Domain Wide Delegation, or prepare a CSV mapping for batch processing?
