Best Enterprise Method for Managing Large Collections of Outlook MSG Files?
Recently we've been reviewing how to better manage historical Outlook MSG files stored across different departments. Over the years, individual emails have been saved separately for contracts, customer support cases, compliance documentation, and project communications. The volume has grown significantly, and it's becoming increasingly difficult to organize and search these standalone files efficiently.
One solution we're considering is to convert MSG to PDF so that archived emails become easier to store, search, and share across teams without depending on Microsoft Outlook. However, the conversion needs to preserve email formatting, attachments, sender information, timestamps, and folder organization. Since the project involves thousands of MSG files, manual processing simply isn't practical, so we're looking for software that supports batch conversion while maintaining complete data integrity.
While comparing different options, I came across the DRS Softech MSG Converter Tool during my research. It appears to offer bulk conversion, preview capabilities, duplicate handling, multiple export formats, and several migration options. On paper those features seem useful for enterprise environments, but I'm much more interested in hearing practical experiences from administrators or IT professionals who have managed similar conversion projects involving large datasets.
We're also evaluating whether a dedicated MSG to PDF converter provides measurable advantages over manual Outlook methods, especially regarding processing speed, folder preservation, and long-term document management. Another consideration is whether it's better to convert everything in one batch or process departmental archives separately to simplify validation and quality checks afterward.
If your organization has completed a large MSG conversion project, I'd appreciate hearing what worked well, which validation steps you followed, and whether there were any challenges with attachments, oversized email collections, or maintaining the original mailbox organization after conversion.
