What’s the Best Way to Handle Microsoft 365 Tenant Migrations During Company Mergers?
Our company recently acquired another business, and one of the first IT projects on the roadmap is consolidating two Microsoft 365 tenants. At first, we assumed it would mainly involve moving mailboxes, but after reviewing the environment we realized there's much more to consider. Besides Exchange Online, we also need to migrate SharePoint sites, OneDrive data, shared mailboxes, distribution groups, and user permissions while ensuring employees can continue working with minimal interruption.
The biggest concern from management isn't the migration itself—it's avoiding downtime and ensuring no business-critical data is lost. We also need reliable reporting because our compliance team wants proof that every mailbox item, document, and folder has been transferred successfully. Another challenge is handling incremental changes. Since users continue sending emails and editing files during the migration period, we need a way to synchronize those last-minute updates before the final cutover.
While researching available solutions, I came across the DRS Softech Office 365 Tenant to Tenant Migration Tool. It seems to support incremental synchronization, flexible mailbox mapping, Microsoft Graph authentication, and detailed reporting, which appear useful for enterprise environments. However, I'd rather learn from real-world experiences than rely only on feature lists.
Has anyone here recently completed an O365 tenant to tenant migration involving several hundred users or multiple departments? What unexpected issues did you encounter after go-live? Were there problems with delegated mailbox permissions, OneDrive sharing links, Teams memberships, or SharePoint access? I'd also appreciate recommendations for pilot migrations, rollback planning, and post-migration validation to ensure everything works correctly before the project is officially signed off.
