How to Archive Office 365 Emails for Long-Term Access?
I am exploring ways to maintain long-term access to Microsoft 365 emails without depending entirely on an active Office 365 subscription. Some business conversations need to be retained for years because they contain project decisions, client communication, invoices, and other important records.
The challenge is finding a practical way to archive Office 365 emails locally while keeping the messages and attachments organized. I would also prefer an export format that allows individual emails to be opened or reviewed later without restoring the original mailbox.
While comparing backup options, I found the SysInfo Office 365 Backup Tool. It offers mailbox export options such as PST, EML, MBOX, MSG, and PDF, along with folder selection and date-based filtering. These options may help when only specific periods or mailbox folders need to be preserved.
For an organization managing several user accounts, I would also like to know whether the backup process can be standardized so that administrators can maintain consistent archives across departments.
How do you currently handle long-term Microsoft 365 email retention? Do you prefer exporting mailboxes to PST files, saving individual messages, or using a separate backup system?
I would appreciate recommendations based on actual IT administration experience, particularly for keeping archived emails searchable and accessible over time.
